Microsoft Copilot vs ChatGPT for marketing work

Microsoft Copilot and ChatGPT both work inside the Office apps marketers use every day, but they reach company data in different ways. This comparison covers data access, admin controls and everyday tasks, based on each vendor's documentation.

This comparison is for marketers, content leads, agency teams and founders who do most of their work in Word, Excel, PowerPoint, Outlook and Teams. You may be deciding whether to lean on Copilot inside Microsoft 365, or to use ChatGPT as a separate workspace that connects to your Microsoft content.

We looked at three things: how each tool reaches company data, what admins can control, and how each handles everyday marketing tasks such as drafting, summarizing, building decks and doing research. Everything here comes from vendor documentation and release notes, and features, plans and defaults can change. Verify details with each vendor before you commit.

We cover Microsoft Copilot and Microsoft 365 Copilot on one side, and ChatGPT Business and Enterprise on the other.

The short answer

  • Choose Copilot if your team already runs on Microsoft 365 and wants answers grounded automatically in emails, chats and documents, according to Microsoft, rather than set up connection by connection. This generally requires the licence tier that includes work-data grounding.
  • Choose ChatGPT if your team wants a dedicated AI workspace with a conversational Chat mode and a Work agent for finished deliverables, and is comfortable having admins enable and scope each Microsoft connection.
  • Choose Copilot if your IT team already uses Microsoft Purview, SharePoint permissions and the Microsoft 365 admin center, and wants Copilot governed in the same place.
  • Choose ChatGPT if your IT team wants its own workspace controls, such as SSO and SCIM, custom roles and a compliance API, and the Enterprise plan fits your needs.
  • Consider both if some people want in-app help and others want a standalone assistant. The two are not mutually exclusive, and ChatGPT offers a Microsoft add-in for Word, Excel and PowerPoint.

Copilot in Microsoft 365

Copilot is Microsoft's assistant built into Word, Excel, PowerPoint, Outlook and Teams. According to Microsoft's documentation, it coordinates large language models, content in Microsoft Graph and the Microsoft 365 apps you work in, all under Microsoft 365 admin, security and compliance controls.

Where it is strong

  • Automatic work-data grounding. With the Microsoft 365 Copilot (Premium) licence, answers are grounded in the emails, chats and documents a user can already access. Microsoft's privacy documentation says it only surfaces data the user has at least view permission for.
  • In-app help. Microsoft's support documentation describes Copilot helping create and edit documents in Word, work with data in Excel, build and refine presentations in PowerPoint, and manage the inbox and calendar in Outlook.
  • Governance in familiar tools. Admins can use Content search or Microsoft Purview to view and manage stored interaction data and set retention policies. The Copilot Control System covers security and governance, management controls, and measurement and reporting. Purview DLP policies can use Copilot as a location to restrict files with selected sensitivity labels.
  • Agentic options. Copilot Cowork can send emails, schedule meetings, create Word, Excel, PowerPoint and PDF files, and manage files in OneDrive and SharePoint, with user approval for each action, according to Microsoft. The Researcher agent handles multi-step research across web and work data inside the Microsoft 365 commercial data boundary.
  • Compliance coverage. Microsoft lists GDPR, ISO 27001, HIPAA and ISO 42001, and says Copilot is an EU Data Boundary service for EU customers. According to Microsoft, it also offers a Copilot Copyright Commitment for commercial customers who use the built-in guardrails and content filters.

Things to consider

  • Oversharing. Because Copilot respects existing permissions, content that is over-shared in SharePoint or Teams can appear in answers. Microsoft's own guidance recommends auditing and fixing permissions before broad rollout.
  • Licence tiers matter. Copilot Chat (Basic) has no Microsoft Graph access and no Copilot in Word, Excel, PowerPoint or OneNote. Microsoft also notes that experiences vary with tenant configuration and licence.
  • Review the output. Microsoft states that generative AI responses are not guaranteed to be 100% factual and that users should review output before sending.
  • Regional processing. According to Microsoft, worldwide (non-EU) traffic can be sent to the EU and other regions for model processing, and calls may go to other regions when utilization is high.
  • Third-party models and usage-based features. Anthropic models are available only in certain licensed experiences, and admins decide whether to use them. Copilot Cowork and Copilot Code are available through usage-based billing. Check their current pricing.
  • Network setup. Admins need to allow specific endpoints and should use tenant restrictions rather than blocking copilot.cloud.microsoft to control personal-account sign-in.

Who it fits

Copilot generally fits teams that are already deep in Microsoft 365, have IT staff who manage SharePoint permissions and Purview, and want AI that draws on work content automatically. Microsoft recommends the Researcher agent for deeper reasoning and shareable reports, and standard Copilot chat for quick summaries and lightweight brainstorming.

ChatGPT Business and Enterprise

ChatGPT is OpenAI's assistant for work. OpenAI describes two modes: Chat for fast, conversational help, and Work, an agent for longer multi-step work and finished deliverables. It connects to company tools through apps and connectors, and offers a Microsoft add-in for Word, Excel and PowerPoint.

Where it is strong

  • Chat and Work in one place. OpenAI positions Chat for brainstorming, search and quick help, and Work for research, analysis and creating documents, spreadsheets, presentations and reports. Work tasks can run once, on a schedule or on a trigger.
  • Office sidebar. According to the Microsoft Marketplace listing, ChatGPT in Excel, Word and PowerPoint supports tasks like drafting a proposal, explaining a formula or building a presentation, with ChatGPT in a sidebar next to the file. All three apps use one add-in.
  • Microsoft connections with scoping. The SharePoint app searches content the user's Microsoft account can already access, and existing permissions continue to apply. On Enterprise and Edu plans, admins can configure SharePoint sync for the whole workspace and pick sites or folders with a scope picker. The Teams app with admin-managed sync allows an optional Purview sensitivity label filter for eligible workspaces.
  • Admin tooling on Enterprise. The Enterprise admin quickstart lists SSO and SCIM, groups, role-based access control with custom roles, IP allowlisting, Lockdown Mode, Enterprise Key Management, a Compliance API and managed mobile access through ChatGPT for Intune.
  • Privacy statements. OpenAI says it does not train on business data by default, nor on data accessed through apps. It says it can execute a Data Processing Addendum and that Business, Enterprise and Edu have completed a SOC 2 Type 2 audit. Data residency at rest is listed for several regions, with inference residency for eligible Enterprise and Edu customers in Europe, the US and the UAE.

Things to consider

  • No automatic tenant access. ChatGPT does not have automatic access to a tenant's Microsoft content. A workspace admin must enable each Microsoft app, and some actions need Microsoft Entra administrator consent.
  • Two sets of approvals. The Word add-in depends on a ChatGPT workspace admin and a Microsoft 365 admin. OpenAI says it is enabled by default starting October 1, 2026, and an organization may still restrict which add-ins employees can install.
  • Personal accounts and sync. The SharePoint app does not support personal OneDrive accounts, and admin-managed sync is limited to eligible Enterprise and Edu workspaces.
  • Business versus Enterprise. Some controls, such as the Compliance API, Enterprise Key Management and data and inference residency, apply only to Enterprise or Edu. Business workspaces get fewer of them. For Business, a separate help article says usage analytics and spend controls do not give admins access to chat transcripts.
  • Triggers and residency limits. Event-triggered Work tasks in Business list Gmail, Slack and GitHub connections, and the article we reviewed does not list Outlook or Teams. Where UAE inference residency is configured, ChatGPT Work is not supported.
  • Data handling. OpenAI says it may run business data through automated classifiers and safety tools, and that for Business workspaces, authorized employees and bound contractors may access stored conversations for support, abuse investigation and legal compliance.

Who it fits

ChatGPT generally fits teams that want a dedicated AI workspace with agentic deliverables, and that have admins willing to set up and scope Microsoft connections. OpenAI describes Business as a collaborative workspace where members share specific chats and GPTs while keeping their own history, and the Enterprise quickstart as aimed at first-time workspace owners setting up identity, roles, security and monitoring.

How to choose

  • Where does your content live? If most briefs, decks and campaign files sit in SharePoint, OneDrive, Outlook and Teams, Copilot's automatic grounding may save setup time. If content is spread across tools, ChatGPT's connector approach may fit better.
  • How clean are your permissions? Both tools say they respect existing permissions, so over-shared files are a risk either way. Plan a permissions review before rollout, as Microsoft itself recommends.
  • Which licence tier do you need? Confirm which Copilot tier unlocks in-app features and work-data grounding, and which ChatGPT plan includes the admin controls and sync options you need. Check their current pricing.
  • Who will administer it? A team with Microsoft 365 and Purview expertise may prefer Copilot's controls. A team that wants SSO, SCIM, custom roles and a compliance API in a separate workspace may look at ChatGPT Enterprise.
  • What residency and compliance rules apply? Compare the regions, certifications and residency options each vendor lists against your legal requirements, and note which apply only to certain plans.
  • Which tasks come up daily? Quick summaries, email drafts and slide edits, or long research reports and scheduled deliverables? Test a few real marketing tasks in a pilot with both tools before you standardize.
  • Who reviews the output? Neither approach removes the need for human review before anything goes to a client or a customer.
